Getting Started
What is BizBotify and who is it for?
BizBotify is a WhatsApp Business CRM and automation platform for small and growing businesses in India. One dashboard covers your shared team inbox, a built-in Sales CRM with My Day, AI auto-replies, broadcast campaigns, chatbot flows, Odoo/Zoho sync, and analytics — all on WhatsApp's official business connection.
It's built for teams that sell and support customers on WhatsApp every day: D2C and retail brands, e-commerce stores, clinics, real estate, restaurants, and service businesses that need faster replies, cleaner handoffs, and safer campaigns at scale.
Do I need a WhatsApp Business account to use BizBotify?
Yes. BizBotify connects through WhatsApp's official business connection. You'll need a WhatsApp Business account and a phone number not already active on WhatsApp.
We walk you through the full setup step by step. Most businesses are up and running in under 30 minutes.
How long does setup take?
Initial setup takes about 15–30 minutes — connecting your WhatsApp Business account, inviting your team, and configuring your first auto-replies or chatbot flow. Our onboarding wizard guides you through every step. No technical knowledge required.
Does BizBotify work with my existing WhatsApp number?
You can use an existing number, but it must be removed from regular WhatsApp or the WhatsApp Business app first. We recommend using a dedicated business number for a clean setup. Your existing chat history won't migrate, but all future conversations will be in BizBotify.
Can I use BizBotify on my phone or tablet?
Yes. Open bizbotify.com in Chrome or Safari on your phone and choose "Add to Home Screen" — it installs like an app, no app store needed. The Inbox, the CRM boards and My Day are laid out for phone and tablet screens: chats open full-width, the deal drawer fits a 6-inch screen, and you press and hold a card to drag it between columns.
Owners and field staff typically run the day from the phone while the office team works on a laptop — both see the same conversations and the same board, live.
Pricing & Billing
Is there a free trial?
Yes — every new account gets a 15-day free trial with access to the full platform (Growth plan limits during trial). No credit card required to start. You only add payment info if you decide to continue after the trial.
What happens when my trial ends?
After 15 days, outbound messaging and automation pause until you subscribe to a paid plan. Your contacts, conversations, flows, and settings are kept — nothing is deleted.
Choose Starter or Growth from billing, or talk to us about a Tailored setup. We'll remind you in the app before your trial ends.
What do Starter, Growth, and Tailored include?
Every paid plan ships the full platform — shared inbox, unlimited chatbot flows and campaigns, drip sequences, WhatsApp Flows, Odoo/Zoho CRM sync, website lead forms, and API keys. Only team size, contact volume, and AI bundling differ. The Sales CRM (Enquiries and Sales boards, My Day, Companies) is a ₹750/month add-on on either plan.
Starter — ₹1,499/month (billed annually): 2 users, 10,000 contacts, 10,000 outgoing messages/month, 1 WhatsApp number. AI chatbot is a ₹149/month add-on.
Growth — ₹2,999/month (billed annually): 8 users, 25,000 contacts, 25,000 outgoing messages/month, AI included with a 50-page knowledge base, white-glove onboarding, and priority support. Cheaper add-ons: extra user ₹249/mo, extra number ₹249/mo.
Tailored — custom product setup for your workflows, integrations, and limits, with a dedicated account manager. Book a demo to discuss what you're building.
See the pricing page or plan comparison for the full limit table.
What happens if I exceed my plan limits?
Starter and Growth include monthly caps on outgoing messages and stored contacts. If you're approaching a limit, you'll see usage warnings in the dashboard.
Need more volume, users, or WhatsApp numbers? Add paid seats and numbers from billing, or upgrade to Growth. For larger or custom needs, the Tailored plan can be configured around your business.
Can I add more team members or WhatsApp numbers?
Yes. Each plan includes a base number of users and one WhatsApp number. You can add more from your account:
- Extra user — ₹299/mo on Starter, ₹249/mo on Growth
- Extra WhatsApp number — ₹249/mo on both plans
Multiple numbers are useful when you run separate brands or departments on WhatsApp.
Are there message costs beyond the subscription?
Yes. WhatsApp Meta API messaging charges apply in addition to your BizBotify platform subscription. Rates depend on message category and recipient country. BizBotify adds 0% markup — you pay Meta's official rates. Your plan also includes a monthly outgoing message allowance (10,000 on Starter, 25,000 on Growth) for platform sends. Contact us for a cost estimate based on your volume.
Can I cancel anytime?
Yes. Cancel anytime from your account settings. No cancellation fees, no lock-in contracts. Your plan stays active until the end of your current billing period.
Features & Automation
How does the AI auto-reply work?
BizBotify AI answers customer questions from a knowledge base you control. Paste your website URL and our crawler builds pages from your site — product listings, FAQs, policies — so answers stay current when you update your site. You can also add or edit pages manually.
When the AI isn't confident, it escalates to a human agent in your shared inbox. You review suggestions, tune the knowledge base, and stay in control. See our AI auto-reply guide for setup steps.
Are chatbot flows and broadcast campaigns unlimited?
Yes — on every paid plan there is no cap on how many chatbot flows, drip sequences, or broadcast campaigns you create. Plan limits apply to monthly outgoing messages and stored contacts, not to the number of automations you build.
Can I build a chatbot without coding?
Yes. The visual flow builder uses drag-and-drop — add steps, ask questions, branch on answers, assign to agents, and set variables. No code required.
Common uses: product enquiries, order status, lead qualification, appointment booking, and handoff to your team. Read the chatbot flows guide to get started.
What are drip and follow-up sequences?
Drip sequences send a timed series of WhatsApp messages after a trigger — for example, a welcome series for new leads, cart reminders for e-commerce, or follow-ups after a demo request.
You define the steps and delays; BizBotify sends within the customer's 24-hour session window or via approved templates when needed. See the nurture sequences guide.
What are WhatsApp Flows?
WhatsApp Flows are native in-chat forms from Meta — bookings, sign-ups, surveys, and data collection without leaving the chat thread. BizBotify lets you create, publish, and sync Flows from the same dashboard as your chatbots and campaigns.
They're ideal when you need structured input (date, size, location) instead of back-and-forth text messages.
Can I send images and documents in campaigns?
Yes. Broadcast campaigns support text, images, videos, PDFs, and documents. Attach a product catalogue, promotional flyer, or rate card directly in the message.
Target audiences with tags and segments, schedule sends, and track delivery from the campaign dashboard. Learn more in the broadcast campaigns guide.
Can multiple agents handle conversations simultaneously?
Yes. The shared team inbox lets multiple agents work at once. Conversations can be assigned to specific agents, tagged by status, and annotated with internal notes your customers never see.
Role-based permissions control who can send messages, manage campaigns, or edit automations. See the team inbox guide.
Can I reply to a specific message or react with an emoji, like in WhatsApp?
Yes. Click Reply on any message to quote it in your answer, and react with an emoji the same way you would in WhatsApp — the customer sees both exactly as they would from a normal WhatsApp account. Photos open full-size, PDFs open in a new tab, and shared locations and contacts show as cards rather than raw text.
Delivery ticks (sent, delivered, read) show under every outgoing message, so your team knows whether a quote was actually seen.
Sales CRM & My Day
What is the BizBotify Sales CRM, and how much does it cost?
The Sales CRM is a module inside BizBotify that turns WhatsApp conversations into cards you can follow from first question to paid order. You get an Enquiries board for everyone who has asked but not bought, a Sales board for deals with a value, close date and owner, My Day for each teammate's follow-ups, Companies for B2B accounts, and a CRM tab in Analytics.
It is a ₹750/month add-on on both Starter and Growth, switched on per workspace. Ask us to enable it during your trial so you can test it with real chats. See the Sales CRM chapter on the features page and the CRM guide.
What is the difference between an enquiry and a deal?
An enquiry is someone who has shown interest but has not bought yet — it lives on the Enquiries board. A deal is business you are actively trying to close, with a value, an expected close date and an owner — it lives on the Sales board.
Press Qualify on an enquiry to turn it into a deal. It is the same card moving boards, not a copy, so nothing is retyped and the history comes along.
Can a WhatsApp chat become an enquiry by itself?
Three ways. In the Inbox, press New Enquiry at the top of any chat and the card is created with the customer and their last message already filled in — you can also quote specific messages onto it. In a chatbot flow, add a Mark as Enquiry step and every chat that reaches it becomes a card with the customer's answers copied on. And every submission from your website form lands on the same board, next to the WhatsApp ones.
If that customer already has an open card, you choose whether to add to it or start a new one — so the board never fills with duplicates by accident.
Do I need Odoo or Zoho to use the CRM?
No. The built-in Sales CRM is for teams that track sales in a notebook, Excel or nothing at all today — it needs no other software. The Odoo and Zoho integration is for businesses that already run one of those CRMs and want WhatsApp contacts and messages to appear there.
You can use both: work the deal in BizBotify and keep Odoo or Zoho as your accounting or ERP system of record.
What is My Day?
My Day is each teammate's to-do list for today, already in order: customers waiting for a reply on WhatsApp first (with the 24-hour reply window counting down), then follow-ups that are overdue or due today. Later holds the rest of the week, and Given to team shows work you handed to someone else.
Type a task in one line with Quick Add — "Send quote to Ramesh, tomorrow" — and link it to a customer or deal. Overdue tasks roll forward and show "2 days late" until someone acts. "Today" follows your business timezone, not the laptop's clock. See the My Day guide.
Can my sales manager see who is working on what?
Yes. On the Enquiries and Sales boards, press Filters to narrow by team member (Me, Unassigned, or a colleague), team, source (chat, website form, chatbot, ad), created date, or contact tag. The same filters work on the Board and the List and stay on when you switch.
Turn on Assigned to under Customize fields and every card shows the owner without opening it. Analytics → CRM adds cards per column, money per column, load per teammate, and deals that have sat too long.
How do I know when a deal is going cold?
Every card says when it was made and how long it has sat in its current column — "Created 28 May · in Quotation Sent for 14d". Once a card has not moved for two weeks that part turns orange, so you can chase it before the customer goes quiet. Won and Lost columns are marked as such in Setup, so revenue reports always follow the stage type, not the column name.
Can the same customer have two enquiries open at once?
Yes. A customer can have one card for the sofa and another for the dining table, each closing on its own. Cards show a small "+N open" chip when the customer has other open records, and a returning customer is tagged Repeat (bought before) or Reactivation (came back after a lost enquiry), linked to the older card so you can read what happened last time.
Can I delete an enquiry or deal?
No, and that is deliberate — your history and reports stay complete. If the customer did not buy, move the card to a Lost column. If it was created by mistake, move it to Lost and leave a note; it disappears from your open boards and you can still find it later.
Integrations
Do you integrate with Odoo or Zoho CRM?
Yes — on every paid plan. BizBotify syncs contacts and outbound WhatsApp messages with Odoo and Zoho CRM natively, so your sales and support teams see one customer record instead of juggling CSV exports or Zapier workarounds.
Connect from Settings → Integrations and map fields to match how your CRM is set up. Prefer to track deals inside BizBotify instead? That is the built-in Sales CRM add-on.
Can I scan visiting cards into BizBotify with the BizNetwork app?
Yes. BizNetwork is Appmetry's card-scanner app for people who meet a lot of customers — scan a visiting card, a photo or a QR code, add a note by text or voice, and the contact is saved on your phone. Link it to BizBotify and every card you capture appears as a contact with company, designation, website and address filled in, and your notes show on the contact's Activity tab. Tag a card in the app and a follow-up sequence can start on its own.
Setup takes two minutes: in BizBotify open Settings → Integrations → Add connection, choose BizNetworkApp, then paste the Organization ID, Connection ID and API key into the app's BizBotify settings. Each team links its own account, so cards always land in the right workspace. See the BizNetwork chapter for the full picture.
Can I capture leads from my website?
Yes. Embed a website lead form that creates contacts in BizBotify and can trigger a WhatsApp message or chatbot flow. For custom stacks, use API keys to send leads or events from your site, app, or backend.
See the form integration guide and API keys guide for setup details.
WhatsApp & Meta Policy
Is BizBotify an official WhatsApp solution?
Yes. BizBotify uses WhatsApp's official business connection and follows WhatsApp policy requirements. Your account is connected through the approved path, not unofficial tools.
Will my account get banned for using BizBotify?
BizBotify uses WhatsApp's official business connection — the same approved path Meta provides to business platforms. Ban risk is highest with unofficial "WhatsApp API" hacks or blasting unsolicited messages.
We help you stay compliant with template workflows for outbound campaigns, STOP/START opt-out handling, paced sending, and daily send budgets so large broadcasts don't spike overnight. Always message people who opted in to hear from you.
What are WhatsApp templates and the 24-hour window?
Templates are pre-approved message formats Meta requires when you message someone first or re-engage after the session window closes. Broadcast campaigns use approved templates.
24-hour window: once a customer messages you, you can reply freely with any content for 24 hours — no template needed. BizBotify includes a template manager to create, submit, and track approvals (usually a few hours). See the message templates guide.
Security & Privacy
How is my WhatsApp access token stored?
Your account credentials are stored securely in encrypted form, and your business data is isolated from other accounts. We never expose credentials in plain text.
Can BizBotify read my customer conversations?
We only access messages needed to deliver the service (routing to the right org, powering AI replies, storing for your team's inbox). We do not sell or share your conversation data with third parties. Full details in our Privacy Policy.
