Tracking Enquiries and Sales in the CRM
Turn every "how much?" on WhatsApp into a card you can follow from first question to paid order — no notebook, no Excel sheet.
How to do it
Open CRM → More → Setup → Boards. Pick the Sales board and rename its columns to the words you actually say out loud — "Quote sent", "Order confirmed", "Delivered". Mark each column Open, Won or Lost; reports follow that mark, so renaming a column later never changes your numbers.
In the Inbox, open a chat where someone asked about a price and press New Enquiry at the top. A card appears on the Enquiries board with the customer and their last message already filled in. Chatbot flows (a Mark as Enquiry step) and your website form create cards the same way, with the customer's answers attached under Captured.
Switch between Board (drag cards between columns) and List (sort and find one person fast). Mark each card Hot, Warm or Cold. Press Filters to see only your cards, the unassigned ones, cards from the website form, or this week's. Press Customize fields and turn on Assigned to to see the owner on every card.
When an enquiry turns into real business, open the card and press Qualify. The same card moves to your Sales board with its full history — nothing is copied or retyped. Click the chips across the top to set the owner, then use + Add for the value and the date you expect to close.
Every card has five tabs. Details holds the description and captured answers. To do is for tasks with reminders — "Call back Tuesday". CRM shows the customer's other enquiries, sales and past purchases. Files collects quotes and the photos the customer sent on WhatsApp. History lists every move and note.
Under the chips, a grey line says when the card was made and how long it has sat in its column — "in Quotation Sent for 14d". After two weeks it turns orange: your cue to chase. Analytics → CRM shows the same for the whole board, with money per column and load per teammate.
Drag the card into a Won or Lost column (on a phone, press and hold the card until it lifts, then drag). Won cards count as sales in Analytics and show as past purchases in the customer's chat panel. Auto follow-up messages stop on their own. Moved it by mistake? Drag it back to an open column and it reopens.
